Overview

Regulon is a compliance intelligence platform that helps organisations run individual and entity screening across PEP databases, sanctions lists, adverse media, and digital footprint analysis.

This case study covers the design of Regulon's form creation feature — a tool that allows compliance teams to build and send custom data collection forms to individuals under review. Once submitted, responses feed directly into Regulon's screening engine, triggering checks across PEP status, sanctions exposure, adverse media, and digital footprint — turning a manual back-and-forth process into a structured, auditable screening workflow.

KEY PROBLEM SOLVED

Screening was delayed before it even began

Before the form builder existed, compliance teams had no standardised way to request information from individuals under review. Requests went out over email, responses came back in inconsistent formats, and analysts spent significant time manually extracting and validating data before a single screening check could run.


The problem was not a lack of screening capability. Regulon's engine could already run PEP, sanctions, adverse media, and digital footprint checks. The gap was upstream: there was no structured way to collect the subject data that those checks depended on.

The design challenge was to close that gap — building a form creation tool that compliance teams could configure quickly, send with confidence, and trust to return the clean, structured data their screening workflows required.

WHAT I DESIGNED

The Form Builder

The core of the feature is a multi-section form builder that compliance teams can configure before sending to any individual under review. The form is structured into distinct sections — personal details, beneficiary details, withdrawal details, financial vehicle, risk assessment questionnaire, residential details, notification and alert information, signatory page, and an internal official section — covering the full scope of information a compliance team typically needs to run a screening.


Analysts can reorder sections to match their internal workflow, remove sections that are not relevant to a particular case, and set questions as required or optional. A settings panel allows teams to apply defaults across the entire form, reducing setup time for repeat use cases.


On the customisation side, teams can upload their organisation's logo, select a brand colour, choose a font type and size, and set a button style — ensuring the form feels professional and on-brand when it lands with the individual being screened. Once configured, the form can be saved as a reusable template or published immediately.

Screening Results

Once a subject submits their form, their response feeds directly into Regulon's screening engine. The results view surfaces structured data against each individual, including personal details, director status, nationality, and country of residence.


From this view, compliance analysts can review screening results across four key dimensions: PEP classification (Class 1 through 4), sanctions exposure, adverse media, and fitness and probity. Each category is expandable, allowing analysts to drill into the specific flags, political positions, institution types, and source links associated with a subject. For cases with multiple individuals — such as shareholders or directors — the view supports pagination across all subjects tied to a single submission.

Risk Score

After screening is complete, Regulon calculates a risk score for each subject using a structured set of weighted factors. These include shareholder profile information — ownership percentage, age, residential address, phone number, director status, nationality, and occupation — as well as online footprint signals across Facebook, X (Twitter), and Instagram.


Each factor is scored individually, and the results are aggregated into a final calculation across two dimensions: shareholder profile and online footprint. The combined score is then mapped to the Regulon Trust Scale, a visual 0–10 indicator that gives compliance teams an at-a-glance read on a subject's risk level. A high score signals lower risk; a low score flags a subject that warrants closer review or escalation.

IMPACT

The form builder collapsed a fragmented, email-dependent intake process into a single configurable workflow — connecting data collection directly to Regulon's screening engine so PEP, sanctions, adverse media, and digital footprint checks could begin the moment a form was submitted. The risk score gave compliance teams a consistent, defensible basis for prioritising cases that did not exist before.

Significant Growth in User Engagement: Through internal dogfooding and external unmoderated tests, we measured increased customer satisfaction by 25% with the new UI and enhanced user experience, demonstrating meaningful improvements in engagement.


Higher Transaction Volumes: By streamlining transaction flows and other key journeys, we anticipate a 15% rise in daily transactions during the first quarter, driven by a more intuitive and efficient platform.


Reduced Customer Support Demands: The addition of a direct inbox feature in the dashboard for contacting customer success agents is expected to shorten ticket resolution times, boost user confidence, and strengthen the platform’s credibility

REFLECTION

Designing for compliance meant holding two user perspectives simultaneously — the analyst configuring the form, and the subject completing it. The customisation feature was as much a trust decision as a branding one: a familiar logo and colour increases the likelihood a subject engages seriously, which directly improves data quality and screening reliability.
